Creating a News Article

Access: Header → "Create Article" or "Neuer Artikel" button

Create Article Editor

Required Fields:

  • Title: Article headline
  • Content: Article body (rich text editor)

Optional Fields:

  • Summary/Excerpt: Short preview text
  • Featured Image: Header image for article
  • Publish Date: Schedule for future publication
  • Pin to Top: Keep visible at top of news feed
  • Visibility: All employees or specific teams

Rich Text Editor:

  • Bold, italic, underline formatting
  • Bulleted and numbered lists
  • Links and images
  • Headings (H1-H6)

Publishing Articles

Draft → Published:

  1. Create or edit article
  2. Click Publish button
  3. Article immediately visible to employees

Scheduled Publishing:

  1. Set "Publish Date" to future date/time
  2. Save as Draft
  3. Status shows "Scheduled"
  4. Automatically published at specified time

Instant Publishing (bypass draft):

  • Check "Publish immediately" when creating
  • Article goes live on save

Publish Options


Editing Published Articles

Access: Action Column → Edit on published article

Changes Take Effect:

  • Immediately upon save
  • No republish step needed
  • Employees see updated content on next visit

Best Practice: For major changes, unpublish → edit → republish to control when employees see updates


Article Status

Draft:

  • Not visible to employees
  • Can be edited freely
  • Shown only in News Management page

Published:

  • Visible to all employees (or target teams)
  • Appears in employee dashboard news feed
  • Editable with immediate updates

Scheduled:

  • Publish date set for future
  • Automatically publishes at specified time
  • Can be edited or canceled before publish time

Unpublished:

  • Was published, now hidden
  • Data preserved
  • Can be republished without re-entering content

Pinning Articles

Purpose: Keep important announcements at top of news feed

Access: Article Form → Check "Pin to Top"

Behavior:

  • Pinned articles always appear first
  • Multiple pinned articles stack by publish date (newest first)
  • Unpinned articles appear below in normal order

Use Cases:

  • Emergency announcements
  • Policy changes
  • Important deadlines

Status Filter

Quick Filters:

  • All (default)
  • Published
  • Draft
  • Scheduled
  • Searches title and content
  • Real-time results

Date Filter

  • Show articles created/published in date range

Prerequisites

  • Login - Access with Admin role

Tips & Best Practices

  1. Use Summaries: Write clear excerpt for news feed preview
  2. Schedule Announcements: Publish policy changes on Monday mornings
  3. Pin Sparingly: Too many pinned articles lose impact
  4. Add Images: Articles with images get more engagement
  5. Preview Before Publishing: Check how it looks from employee perspective

Common Issues

Image not displaying:

  • Check image file size (max 5MB)
  • Supported formats: JPG, PNG, GIF, WebP
  • Verify image uploaded successfully

Article not showing for employees:

  • Verify status is "Published" (not Draft)
  • Check team visibility settings
  • Ensure publish date is not in future

Can't delete article:

  • Published articles require unpublish first
  • Check you have Admin permission
  • Recent articles may have delete protection (first 24 hours)
