  2. Expand the Admin section
  3. Expand Management submenu
  4. Click Events or Veranstaltungen

Event Management Overview

Key Areas

  1. Header - Search, date range filter, status filter, "Create Event" button
  2. Event Cards/List - Visual cards or table view showing all events

Creating an Event

Access: Header → "Create Event" or "Neue Veranstaltung" button

Create Event Form

Required Fields:

  • Event Name: Display name for the event
  • Customer: Select from customer list or create new
  • Location: Event venue (select existing or create new)
  • Date Range: Start date and end date (can be same day)
  • Event Type: Wedding, Corporate, Private, etc.

Optional Fields:

  • Description and notes
  • Dress code requirements
  • Budget/billing information
  • Recurring event settings

After Creation:

  • Event appears in Event Management list
  • Event column created in Admin Calendar
  • Ready to add shifts and assign staff

Editing Event Details

Access: Action Menu → Edit, or click event card

Editable Properties:

  • All basic information (name, customer, location, dates)
  • Event type and status
  • Dress code and special requirements
  • Notes visible to staff

Date Changes:

  • Moving event dates: Shifts are moved with the event
  • Warning shown if staff assignments conflict with new dates

Duplicating Events

Use Case: Create similar event without re-entering all details

Access: Action Menu → Duplicate

Process:

  1. Click Duplicate on source event
  2. Form opens with all fields pre-filled
  3. Change date and any unique details (name, customer)
  4. Save - new event created

What's Copied:

  • Event name (with "Copy" suffix)
  • Customer and location
  • Event type and dress code
  • Shift templates (without staff assignments)

What's NOT Copied:

  • Staff assignments (new event starts empty)
  • Specific dates (you must set new dates)
  • Event-specific notes

Event Status Lifecycle

Draft (new events):

  • Not visible to employees
  • Open for editing
  • Not yet scheduled

Upcoming (active events):

  • Event date is in the future
  • Visible to assigned staff
  • Can be modified with caution

Past (completed events):

  • Event date has passed
  • Read-only in most views
  • Available for archival

Archived (historical):

  • Removed from active views
  • Data preserved for reports
  • Can be restored if needed

View Modes

Card View (Default)

Visual cards showing event thumbnail, key info, and quick actions

Best for: Visual browsing, recognizing events by customer

List View

Sortable table with all event properties

Best for: Bulk operations, detailed comparison

Toggle Views: Icon buttons in header (Grid/List)


Filtering Events

Date Range Filter

Presets:

  • This Week
  • This Month
  • Next 3 Months
  • Custom Range

Status Filter

Quick Filters (top of page):

  • Upcoming (default)
  • Past
  • Draft
  • Archived
  • All
  • Searches: Event name, customer name, location
  • Real-time results as you type

  • Login - Access with Expediter+ role

Tips & Best Practices

  1. Use Templates: Duplicate similar past events to save time
  2. Set Dress Codes Early: Staff need advance notice for special attire requirements
  3. Archive Completed Events: Keeps active list manageable
  4. Export for Billing: Use event export for invoicing and reports
  5. Check Calendar Before Dates: Verify no conflicts before saving event dates

Common Issues

Can't create event - location required:

  • Location must be selected from list or created
  • Go to Location Management to add new venues first

Staff not seeing event:

  • Event must have status "Upcoming" (not Draft)
  • Staff must be assigned to at least one shift in the event
  • Check schedule has been released

Date change warning:

  • Changing dates may conflict with staff availabilities
  • Review assignments in Calendar after date change
  • Staff receive notifications of date changes
