Step-by-Step:

  1. Click sidebar menu (☰)
  2. Expand Admin section
  3. Expand Communication submenu
  4. Click Messages or Nachrichten

Sending a Message

Compose New Message

  1. Click "Compose Message" button
  2. Select Recipients:
    • All Employees
    • Specific Teams
    • Specific Users
    • Position-based (e.g., all Kellner)
  3. Write Subject and Message Body
  4. Optional: Add attachments
  5. Click "Send" or "Schedule"

Recipient Targeting

By Team: Send to all members of selected team(s)

By Position: Send to all employees with specific position(s)

Individual Users: Select specific employees from list

Combined: Mix and match (Team A + Position Kellner from Team B)


Message Templates

Purpose: Save frequently used messages for quick reuse

Creating Templates:

  1. Compose message
  2. Click "Save as Template"
  3. Name the template
  4. Template saved for future use

Using Templates:

  1. Click "Use Template" in compose area
  2. Select template from library
  3. Message pre-filled, edit as needed
  4. Send

Common Templates:

  • Shift reminder
  • Schedule release notification
  • Policy updates
  • Event information

Scheduled Messages

Use Case: Send messages at optimal time (e.g., Monday morning)

How to Schedule:

  1. Compose message
  2. Click "Schedule" instead of "Send"
  3. Set date and time
  4. Message queued for delivery

Managing Scheduled: View scheduled messages in History tab, cancel before send time


Message History

Access: History tab shows all sent messages

Information Shown:

  • Subject and preview
  • Recipients (count and names)
  • Send date/time
  • Read status (how many opened)

Actions:

  • View full message
  • See recipient list
  • Track read receipts
  • Resend to new recipients

Prerequisites

  • Login - Access with Admin role
